About this role
Our client is a bespoke carpentry and interior architecture firm that designs, fabricates and installs every project in-house from its own licensed workshop in Kaki Bukit. It is looking for an Administrative Assistant to hold the office end of its projects together: attendance and site arrangements, the Friday pay run, book-keeping, worker permits and renewals, licences, and the buying of materials from suppliers in China. The work follows a daily, weekly and monthly rhythm, and the role needs someone meticulous who is comfortable with Excel, Word and Mandarin.
About our client
Crafted, not manufactured. Our client is not an average renovation contractor. Founded on a simple promise — that clients deserve to know exactly what they are getting — they have spent the last 20 years building a reputation as one of Singapore’s most reliable bespoke carpentry and interior architecture firms. While the industry often relies on mass-produced particle boards and outsourced third-party factories, our client does everything in-house, from the first sketch to the final coat of paint. Operating from their own licensed carpentry workshop in the Kaki Bukit area, their team of master carpenters and joiners fabricate 100% of every project themselves, bypassing middlemen to keep total quality control.
Zero mass production. Every joint, profile and structural timber core is fitted and dry-assembled under physical clamp jigs before it reaches a client’s home, giving a near-flawless 99.8% finish.
Health and longevity first. They build exclusively with premium structural hardwood and non-toxic water-based polymer glues, creating safe ultra-low-emission E0/E1 environments.
Durability against the elements. Heavy-core blockboard and solid lumber reinforcements, engineered to last decades, backed by a 5-year structural timber warranty.
A culture of craftsmanship and accountability
A team of dedicated professionals who take complete hands-on responsibility. They are HDB Registered and BizSafe Level 3 certified, and committed to their studio process. Whether crafting a minimalist luxury condo, a high-performance kitchen, a boutique retail storefront or a corporate workspace, their goal is the same: strip away distracting details and let the natural beauty of the wood take centre stage. They did not set out to be the biggest firm in Singapore — just the most reliable one you would ever work with.
About the position
Our client is looking for an Administrative Assistant to keep the office side of its projects running — the attendance list, the site arrangements, the Friday pay run, the books, and the paperwork that keeps its workers legal and its materials arriving.
The role follows a daily, weekly and monthly rhythm. Each morning there is attendance and the day’s site venues; each week the EDMs, the Instagram posts and the payments; each month the book-keeping, the bank consolidation, the permit and licence renewals, and the orders for materials from suppliers in China.
It suits someone meticulous and organised, comfortable in Excel and Word, and ready to speak and write Mandarin with those suppliers. Pay is $2,800 to $3,200 a month depending on qualifications and experience.
Why join
- Work alongside the people who run the projects, in a small in-house team rather than a large corporate office.
- Real breadth — finance, HR admin, procurement and licensing in one role, rather than one narrow task.
- A stable, long-established Singapore firm, HDB Registered and BizSafe Level 3 certified, with its own workshop and its own team of carpenters and joiners.
How to apply
Send your application and CV to [email protected] and quote the position title. Only shortlisted candidates will be notified, and all applications are treated in strict confidence.
Responsibilities
- Take attendance each morning and update it in the company group chat, and arrange the day's site venues the same way.
- Track workers' check-in and check-out, and record their overtime.
- Place the ad-hoc orders for raw materials and follow them through with suppliers.
- Send out the EDM and marketing mailers, and post video content to Instagram on Tuesdays and Fridays.
- Run the Friday payments — salaries for freelance workers, vendor payments and petty cash.
- Keep the office duty roster, see that the premises stay clean and presentable, and send the weekly toolbox-meeting reminder on workplace safety.
- Keep the books — record and issue payment vouchers, compile the payments due, track project costing and scan the vouchers for GST.
- Record the monthly bank consolidation.
- Look after worker welfare and HR admin — attend to workers' requests, book their air tickets, monitor their leave and rest days, keep track of work passes and renew worker permits and CoreTrade certifications, apply for new workers, and keep the company inventory up to date.
- Handle the insurance and vehicle admin — track road tax, renew the company's yearly insurance, buy insurance for projects and Primary Care Plan cover for workers.
- Renew the yearly HDB and SCAL licences, and apply for HDB works on projects.
- Issue quotations to homeowners, interior design firms and main contractors, and issue invoices to clients.
- Source new materials and enquire on their costs, request samples, and buy hardware from China — coordinating with the suppliers there and tracking the shipments.
Requirements
- Working knowledge of Microsoft Excel and Word, and of everyday office software.
- Accounting, Instagram or Facebook marketing experience preferred.
- Meticulous in keeping records, vouchers and paperwork in order.
- Able to speak, read and write Mandarin, to communicate with the company's suppliers in China.
What we offer
- Basic salary range of $2,800 – $3,200 per month.
- Full-time, permanent position based at the client's Kaki Bukit office.
- Working weeks alternate between five days and five and a half days.
